Board meeting preparation involves a lot of reading, taking notes, thinking/contemplating, and seeking out and asking for additional information. This work improves the overall effectiveness of the board as a body that makes decisions and lets them focus their time and energy on strategy and not on procedural concerns. This also helps reduce the level of frustration that directors feel when they attend meetings that are too long, have a large volume of information, and don’t provide clear action steps.
The best way to prepare yourself for a board of directors meeting is to review the agenda well ahead of time, and pay special attention to the most important topics. Review the agenda and classify each item based on the importance, urgency and alignment with your organization’s strategic goals. Request input from the chair of the board or CEO to further refine and determine the top priorities. Then, create the agenda of the meeting to ensure that the most pressing you can try these out issues are discussed first and then discussed in detail. This will enable the board to come away from the meeting with an understanding of the decisions that need to be made.
Also, ensure that you include any updates on the action tasks which were given at the previous board meeting. Also, make sure to confirm that all the required information has been provided by presenters. In addition, it is important to confirm that all participants will have access to the meeting via phone, video or another online platform. Once the board packet and agenda are approved, send them out to all participants. Ideally, this should be done one week prior to the meeting to allow participants have adequate time to review and request modifications.
